This comprehensive resource is designed specifically for first-year postgraduate students enrolled at our San Diego, San Jose, or La Puente campuses.
Students from other programs or campuses should visit the general internship process page for applicable guidelines.
Understanding these requirements thoroughly is essential for successful application approval. Incomplete or incorrect submissions result in processing delays and potential denials that impact both you and prospective employers.
Work Authorization Categories
F1 Visa Students & CPT Requirements
International students maintaining F1 visa status must navigate federal regulations governing work authorization through Curricular Practical Training (CPT). These requirements are non-negotiable federal mandates that CalMU must enforce without exception. Violations can result in visa revocation and academic consequences.
Academic Year Residency Requirement: F1 students must complete one full academic year of enrollment as full-time, in-person students in the United States before qualifying for CPT authorization. This means continuous Fall and Spring term enrollment at our US campuses. Students who rotated to US campuses from international locations do not meet this residency requirement.
Mandatory Course Enrollment: All F1 students must register for and complete the internship elective course as part of their CPT authorization. This enrollment occurs automatically following application approval, and course completion is federally mandated – not optional.
Direct Employment Requirement: F1 students cannot obtain internships through staffing agencies, recruiting firms, or third-party intermediaries. Work authorization only applies to direct employment relationships with the company providing the work experience.
Work Authorization Documentation: Students cannot begin internship activities until receiving their updated CPT I-20 document. Processing typically requires several business days following application approval, which is why start dates must be scheduled at least one week after application submission.
Authorized Work Period: F1 students may only work between May 5, 2025 and August 1, 2025. These dates are federally mandated with no flexibility for extensions or modifications.
US Citizens & Permanent Residents
Domestic students and green card holders do not require work authorization and have more flexibility in their internship arrangements.
Credit vs. Non-Credit Options: US citizens and permanent residents can choose whether to pursue internships for academic credit. Those seeking credit must follow the complete application process outlined below. Students preferring internships without academic credit may pursue opportunities independently without institutional approval.
Timeline Flexibility: While international students must adhere to strict federal timelines, domestic students have more flexibility in start and end dates when pursuing credit-bearing internships.
Academic Requirements & Restrictions
All students pursuing internships for academic credit must comply with specific academic and professional standards designed to ensure educational value and institutional reputation.
Compensation Structure: Internships may be paid or unpaid without affecting approval eligibility. However, all positions require formal offer documentation regardless of compensation level. Even unpaid positions require clear documentation stating “$0/hour” or “unpaid internship.”
Academic Balance Requirements: Students must maintain satisfactory performance in concurrent coursework while fulfilling internship responsibilities. Academic commitments take priority, and students should carefully assess their ability to balance both obligations before applying.
Geographic location impacts academic classification: San Diego, San Jose, La Puente, and other California internships count as in-person courses, while out-of-state positions are classified as virtual courses. Students cannot enroll in additional virtual courses while completing out-of-state internships.
Professional Conduct Standards: Students facing workplace challenges must consult with Career Advisors before discussing resignation or termination with supervisors. Professional conduct directly impacts future opportunities for CalMU students with the same employers.
Academic Work Completion: Credit-bearing internships require completion of specific assignments and coursework on a pass/fail basis. Students must meet all deadlines and requirements to receive credit.
Single Internship Limitation: Students may only complete one internship for academic credit during their program. Multiple internship experiences require separate arrangements outside the credit-bearing structure.
Field of Study Alignment: Internship responsibilities must directly relate to the student’s academic program. Marketing students qualify for marketing-related positions but would not qualify for accounting internships. Students uncertain about alignment should consult Career Advisors during the opportunity identification phase.
Minimum Hour Requirements: Students must complete at least 80 total hours of internship work while not exceeding 40 hours per week. For example, a 20-hour weekly schedule requires a minimum four-week commitment to meet the 80-hour requirement.
Critical Dates & Timeline
Federal regulations and academic calendar constraints create inflexible deadlines that cannot be modified under any circumstances. Students must plan accordingly and cannot expect accommodations for missed deadlines.
Application Availability: Monday, March 3, 2025 Applications become available on this date through the online portal linked at the bottom of this page.
Earliest Start Date: Monday, May 5, 2025 No student may begin internship work before this date, regardless of visa status. All offer letters must reflect start dates on or after May 5th.
Application Deadline: Friday, May 30, 2025 (3:00 PM EST / 12:00 PM PST) Absolutely final deadline for application submission. Offers received after this deadline cannot be processed regardless of circumstances.
Latest End Date: Friday, August 1, 2025 All internship work must conclude by this date. Offer letters indicating later end dates will result in automatic application denial.
Offer Letter Requirements
Successful application approval requires offer letters meeting every specification listed below. Use this section as a comprehensive checklist before submission.
Professional Formatting Requirements:
- Company letterhead with visible logo placement
- Complete company name and address of the hiring office location
- Date of offer letter creation
- Clear specification of work location (office address or “remote work”)
Timeline Specifications:
- Start date no earlier than May 5, 2025 and at least one week after application submission
- End date no later than August 1, 2025
- Work schedule not exceeding 40 hours per week
- Minimum 80 total hours with specific hour ranges (e.g., “10-20 hours per week”)
Compensation Details:
- Specific hourly rate or salary information
- Clear indication if position is unpaid (“$0/hour” or “unpaid internship”)
Position Information:
- Official job title following standard conventions (e.g., “Marketing Intern”)
- Minimum three bullet points describing specific responsibilities
- Job duties directly related to academic program of study
Supervisor Information:
- Full name of direct supervisor
- Supervisor’s company email address
- Signature from company representative (hiring manager or authorized personnel)
Application Process
Follow these sequential steps to ensure smooth application processing and avoid common pitfalls that result in delays or denials.
Step 1: Scam Awareness & Prevention
Unfortunately, fraudulent internship postings target students regularly. Familiarize yourself with common warning signs before beginning your search:
Red Flags to Avoid:
- Requests for upfront payment for training materials or equipment
- Vague job descriptions with unrealistic compensation promises
- Communication exclusively through personal email accounts
- Requests for banking information before formal hiring
- Pressure to make immediate decisions without proper documentation

Step 2: Interview Preparation & Expectation Setting
During interviews, clearly communicate your availability and requirements to potential employers:
Sample Response Framework: “I’m available to begin internship work as early as [specific date after May 5th] and can continue through [date before August 1st]. Once I receive a formal offer, I’ll need approximately one week to complete the academic approval process before starting.”
This transparency prevents misunderstandings and demonstrates professionalism while managing employer expectations appropriately.
Step 3: Offer Letter Verification
Before submission, verify your offer letter includes every requirement listed in the previous section. Incomplete offers result in automatic denial and missed opportunities for both you and the employer.
Step 4: Learning Outcomes Documentation
Complete the Learning Outcomes Worksheet that connects your internship experience to academic objectives. This document demonstrates the educational value of your experience and is required for all credit-bearing internships.
Step 5: Application Submission
Submit your complete application package including:
- Verified offer letter meeting all requirements
- Completed Learning Outcomes Worksheet
- Any additional documentation requested during the application process
Post-Submission Process
Following submission, your application undergoes multi-departmental review including Career Development, Visa & Compliance (for international students), and Registrar services.
Approval Timeline: Most applications receive approval within 5-7 business days, though processing times may vary during peak submission periods. Students receive notification of approval status and course enrollment information through official CalMU communication channels.
